Every legitimate commercial cleaning vendor works to a written service agreement. Here's what should be in yours.
1. Pricing basis
Commercial cleaning is priced three ways: per square foot per visit (most common — $0.07–$0.20 for offices, $0.15–$0.25+ for medical/restaurant/industrial), per visit flat rate (typical for small offices under 3,000 sq ft), or per month (a bundled monthly retainer covering a defined scope and frequency). Ask which your vendor is using — apples-to-apples comparison is impossible otherwise.
2. Scope of work
A real scope of work is a room-by-room, task-by-task table listing exactly what happens on every visit. It distinguishes daily tasks (trash, restrooms, high-touch), weekly tasks (baseboards, glass), monthly tasks (vent covers, appliance exteriors) and quarterly tasks (carpet extraction, floor buffing). Anything not on the scope isn't happening — that's how legitimate vendors avoid "surprise" invoices.
3. Certificate of insurance (COI)
Non-negotiable. Every vendor carries general liability insurance ($1M–$2M standard) and workers compensation as required by Florida law. The COI names your business, and often your landlord, as additional insured. Ask for it before service starts — most commercial leases require the tenant to provide vendor COIs on file.
4. Access and after-hours coordination
